JOB SUMMARY

Provide accounting and contract administration support to the Global Design and Consumer Experience business teams relating to consulting agreements and other miscellaneous types of agreements with minimal complexity and financial risk. Collaborates with internal stakeholders, including the business, Legal, and Risk Management. Manages and tracks low risk contracts, change orders and short form type agreements.

CORE WORK ACTIVITIES

Contract and Vendor Management

  • Draft and administer execution of work orders and change orders with minimal complexity and financial risk.

  • Interprets contract requirements, consultswith internal subjectmatter experts on contract terms(e.g. Business lead/Project Manager, Legal, Risk Management,) and, for low-risk transactions, drafts language to incorporate feedback into work orders or change orders.

  • Help business better understand the information outlined in the contracts.

  • Manages issues and questions related to their relevant contracts as needed.

  • Escalate any contractual issues to minimizerisk as appropriate.

  • Initiates and manages the vendor onboarding processes for payment with external vendors and for set up within Marriott’s system. Work with the relevant stakeholders to obtain all required documentations, reviews, and approvals.

Accounting

  • Performs and/or assists with the following types of basic tasks: analysis, auditing, research, report generation, and software integration.

  • Review, obtain business approval, and process contract payments.

  • Ensure all contract documentation is received and logged in Marriott’s internal system.

  • Analyze pay applications and review lien waivers as required by contract.

  • Enter contract commitment and payments within accounting system to ensure timely processing.

  • Prepare timely and accurate project reporting to management.

ManagingCompliance with Contractual Terms and Conditions

  • Manages and maintains accurate and up to date contract data in the relevant tracking tools.

  • Reviews scope changes or extensions and drafts change orders as appropriate.

  • Functions as an initial point of contact for consultant billing questions and escalated as needed.

  • Facilitates contract audits.

  • Ensures and tracks current Certificates of Insurance compliance with contract terms.

Managing Projects and Policies

  • With supervision, interprets and advises on work orders and change orders and the relevant Marriott policies.

  • Follows structured process, rules of engagement and end-to-end support for contractual issue/dispute resolution related to work orders and change orders under their responsibility.

  • Manages the end-to-end lifecycle process from drafting through to execution, including obtaining the relevant stakeholder approvals, initiating, and preparing change requests, documenting final DocuSign or other electronic approvals and signatures.

  • Support team leader in process improvement opportunities to drive consistent tools and processes by using technology.

  • Performs other duties as appropriate.

CANDIDATE PROFILE

  • Strong PC skills; Proficient in Microsoft Office products with advanced Microsoft Word skills.

  • Strong interpersonal and oral/written communications skills required.

  • Must be highly organized, able to multi-task, prioritize work and meet deadlines.

  • Able to work independently.

Education and Experience

Required

  • 1-2 years’ contract management and/or accounts payable experience.

  • Undergraduate degree or equivalent experience/certifications.

Preferred

  • Paralegal credentials preferred or Contract Management Certification.

  • Ability to analyze and draft commercial and legal terms.

  • Knowledge of contracting, design industry, project management and consulting agreements, preferred.
