Job Summary and Qualifications

The Process Improvement Specialist supports the operational functions of the Institution, including the development, implementation, and ongoing maintenance and improvement of processes and procedures in support of an excellent student and staff experience.

Position Responsibilities

  1. Develop, configure, and optimize operational procedures by streamlining work processes and removing unnecessary steps.

  2. Document, maintain, and publish institutional processes, process maps, best practices, and standard operating procedures in relation to operational activities.

  3. Manage and implement various projects in development by the Operations department, using appropriate tools to track deliverables, deployment, and implementation.

  4. Establish and effectively communicate project expectations to contributors in a timely and clear fashion.

  5. Develop and deliver progress reports, proposals, business requirement documentations, and stakeholder presentations in support of assigned projects.

  6. Conduct a continuous review of the College website, employee resource center (ERC), student portal, and any other ancillary systems, ensuring information communicated is accurate and well-aligned to the operational activities of the College.

  7. Conduct regular quality assurance audits on operational processes within the various applications of the institution, including, but not limited to, Customer Relationship Management (CRM), Student Information System (SIS), and Document Management System (DMS) software, ensuring accuracy and effectiveness in process and alignment with published policies and procedures.

  8. Develop and communicate clear internal and external messaging, as appropriate, in support of process improvements throughout the phases of development.

  9. Maintain operational documents and system configurations in support of updated policies, tuition rates, campus expansions, and other related activities.

  10. Research, document, and analyze feedback from various functional departments, subject matter experts, and external agencies and integrate feedback as part of the execution of assigned duties.

  11. Other duties as assigned.

What qualifications you will need:

  • Education : Minimum of an earned bachelor’s degree. Equivalent experience in lieu of an earned degree considered.

  • Experience : Three (3) years of higher education operations, project management, or process improvement experience preferred.

  • Special Qualifications : Must be a change agent within the organization. Working knowledge of Microsoft Office products, including experience or ability to quickly acclimate to flowchart diagramming software, such as Visio. Must be highly organized with the ability to work in a dispersed team environment while self-managing priorities and projects. Excellent judgement, problem-solving, and analytical abilities with high attention to detail required. Superior written and verbal communication skills must be demonstrated across multiple levels of the organization. Must respect, at all times, the confidential nature of the work and information in the Executive offices.
