The Department of Ophthalmology has an exciting opportunity for a Part-Time HIM Clerk to work at Bascom Palmer Eye Institute in Palm Beach Gardens. The HIM Clerk handles r eceiving, documenting and processing requests from patients, other doctor’s offices, insurance companies and legal firms. Receives, scans and indexes external documents into the patient record. Also, responsible for the professional and efficient managing of visitors, consumers, telephone calls and messages, as well as a variety of administrative and clerical duties.

CORE FUNCTIONS:

  • Ensures completion of telephone and printed requests for medical records.

  • Maintains chart organization per established procedure.

  • Maintain orderliness of medical records within assigned sections.

  • Accesses computer system to obtain medical record number/chart location.

  • Interfaces with medical and administrative personnel on medical record charts.

  • Responsible for the documentation of the temporary transfer of medical records between facilities.

  • Reviews clinical records for completeness including authorization, signatures, missing data and other patient information prior to scanning.

  • Sorts loose health record documents received.

  • Scans and indexes information into a computer or storage device on a timely basis and within established guidelines.

  • Cleans equipment and performs basic maintenance on equipment.

  • Uses Medical Records Tracking system and or databases to accurately document location of charts and or films.

  • Takes charts/films to clinic areas as needed. Answer and respond to medical records inquiries in person, via fax, telephone and general medical records e-mail.

  • Answers multiple telephones for the department: responds to questions, directs calls and takes messages. Greets staff and visitors. Distribution of incoming faxes and mail.

  • Performs record retrieval duties timely and efficiently for accounts pending on the Arrivals and Clinic List. Follows the established search procedure during this process.

  • Utilizes chart tracking system to find records and to route records appropriately. Accurately abstracts clinic visits in the hospital abstracting system.

  • All other duties administrative and clerical duties assigned.

Knowledge, Skills, and Abilities:

  • Has broad and deep knowledge of own area as well as related areas

  • Demonstrates sustained high level of proficiency in all aspects of job

  • Knowledge, understanding and proper usage of medical terminology either through on-the-job training, formal or correspondence course.

  • Knowledge of hospital policies and procedures, JCAHO standards, State and Federal Regulations.

  • Good communication skills and willingness to be a team member.

CORE QUALIFICATIONS

  • High School diploma.

  • Three (3) years related experience.
