How will you make an impact in this role?

This position provides administrative support for the Country Manager for Italy. The team and broader business is a dynamic, fast-paced environment and therefore the day-to-day responsibilities require seamless collaboration, across a wide range of stakeholders both inside and outside of American Express. The ideal candidate must have experience handling a wide range of administrative related tasks and be able to work independently and confidently under pressure.

This position is an integral part of the Italian executive team and will work closely with the leaders in maintaining clarity of schedule, key deliverables and managing competing priorities to effectively support the operation of the team. This is a busy office and the role will also be responsible for coordinating travel logistics, logistics for market visits by senior leadership and broader colleague events.

Experience in working with executive offices as well as a proven ability to build strong relationships, ability to manage and operate in a dynamic environment, operating effectively and efficiently under pressure and being resourceful will also be critical to success in this position.

What you will do?

  • Provide general administrative support;

  • Be responsible for calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of meetings;

  • Preparing meeting agendas, coordinating meeting participants (internal and external), and handling meeting reminders as needed. Follow up with meeting minutes where appropriate;

  • Create and modify documents/presentations using Microsoft Office;

  • Arrange travel schedule and reservations as needed;

  • Format Information for internal and external communications – memos, emails, presentations, reports;

  • Follow up on actions and meeting deadlines;

  • Manage and supervise budget and unbudgeted spend across Purchase Orders and invoicing and providing awareness on actual budget;

  • Screening of emails and help to identify and follow up on priorities.

Minimum Qualifications

  • Proficient in English both spoken and written

  • Extensive experience providing support at a Senior Level

  • Proficient in all MS applications including Outlook, PowerPoint, Word and Excel

  • Good organization and planning skills, ability to prioritise multiple changing and conflicting priorities

  • Experience in calendar management

  • Experience in managing email/written communications both in English and Italian

  • Self starter and problem solver

  • Experience working with senior executives (internal/external)

  • Outstanding attention to details

  • The highest work ethics and ability to deal with confidential information
